How to Create and Use Custom Actions

Overview

Custom Actions are a set of predefined updates and actions that can be triggered to run for one or many orders through the main list view. They are designed to automate common updates and actions to streamline workflows. Each custom action is built on two core components:

  1. Fields to Update - A list of fields that will be updated by the custom action and what values will be used for the update.

  2. Actions - One or more operations that are applied to the orders selected

Custom Actions can be configured for sales orders, purchase orders, and transfer orders.

Custom Action Configuration

Creating Custom Actions

QUICK TIP: The quickest way to edit custom actions is to use the dropdown action menu in the order's view screen and choose "customize action menu items"

The custom action details screen is where users create new rules and edit existing ones. Each order type has it's own menu of custom actions that only apply to that order type.

In Application Settings > Screens > View sales (or purchase or transfer), use the "Add another custom action" link to create a new custom action. You will automatically be redirected to the configuration screen to give it a name and set up the custom action.

The order of the list determines the order they will be shown in your actions menu drop down on the order view screen.

Fields to Update

A list of the fields that will be updated by the custom action for the selected orders.

  2. Field to Update - Choose the field that will be updated

  3. Value to Set - Define the value that the field will be updated to

  4. Remove Field - Used to remove fields to update

Actions

A list of the actions that will be done to the orders that meet the filter criteria.

  1. Select an Action - Choose the action that will be applied to the order. Selecting an option will display the option or function that will be set for that action. For example, if "Set delivery confirmation" is chosen, the action will be to choose what Delivery confirmation will be set for the order. Each action will have it's corresponding value shown below once it's selected.

  2. Add - Once the configuration for the action is set, click Add to add it to the list of actions. The configuration of the action will be saved and displayed in the section immediately above the "add" section. All available actions can be added if needed.

  3. Actions List - This is where the actions that have been added will be listed. Users can edit the configuration here.

  4. Remove Action - Used to remove actions.

NOTE: Actions are added in a predefined order which cannot be customized. This is the order in which the actions are performed.
