Conducting Stock Takes with the Mobile Barcode Scanner

Finale’s mobile barcode scanner supports two modes of stock takes—a basic cycle count or a full audit with “write zeros.” This guide provides an overview of both modes, their differences, and how to configure the scanner.

Stock Take Methods

Cycle Count (basic Stock Take)

  • Definition: Verifies and updates counts only for the items you scan.

  • Behavior:

    • If a product is in a location but not scanned, its existing count remains unchanged.

    • Example:

      • Location A5 contains 2 Black PVC cards and 2 White PVC cards.

      • If you scan only the Black PVC cards (2 units), the system updates only the Black PVC count in A5.

      • The White PVC cards remain untouched.

This method is ideal for spot-checks and incremental cycle counts.


Audit (write Zeros Mode)

  • Definition: Conducts a full audit of a location by assuming unscanned items do not exist.

  • Behavior:

    • If items in a location are not scanned, the system resets their quantity to 0.

    • Example:

      • Location A5 contains both Black and White PVC cards.

      • If you scan only the Black PVC cards (2 units) in audit mode, Finale sets the White PVC cards to zero, since they were not scanned.

This method is best for complete audits where you want the system to reflect exactly what was found in a location.


Configuring the Scanner

To switch between cycle count and audit mode:

  1. From the scanner Main Menu, go to Settings.

  2. Scroll until you find the TAK settings (stock take settings).

    • TAK 17Default unit (each/case).

    • TAK 18 – Type Quantity = Yes/No.

      • Yes: Enter quantities manually after scanning once.

      • No: Each scan counts as one unit.

    • TAK 19Write Zeros = Yes/No.

      • No (default): Cycle Count mode.

      • Yes: Audit mode (resets unscanned items to zero).

  3. Adjust settings as needed and select Done to apply changes.


Practical Tips

  • Use Cycle Count for quick checks of specific items or bins.

  • Use Audit (Write Zeros) for full-location verification where you want to reset missing items to zero.

  • Turn Type Quantity to Yes when counting bulk inventory (e.g., 500 units). This avoids scanning each item individually.

  • Always sync the scanner before and after a stock take to ensure data accuracy.

Is the physical scanner included with my Finale Inventory subscription?

We do not provide or sell any hardware. If you are upgrading your plan for access to Finale's Mobile Barcode Scanning features, you must purchase a scanner on your own, and can use one of our preferred vendors if you wish.

What are the hardware requirements for the mobile barcode scanner?

ANDROID-OS Based Minimum hardware requirements:

• WiFi 802.11a/b/g/n
• Touch Display

I am using the free trial of Finale Inventory, how do integrate my mobile scanner with my trial account?

How do I change the Orientation of the Barcode Scanner screen?

The mobile barcode scanner software has a Toggle screen hot spot on the top of every screen in the app. Click the area under the title bar to swap your orientation.

How do I type a quantity on the scanner?

Press the Up arrow, on the bottom-of your screen in the app, BEFORE you scan the items you intend to receive or count. That will open up a quantity box for you to type into.

How do I use my own scanner with the Finale Inventory scanner app?

Ensure that your scanner is running on Android-OS 8.1 and that you are on the appropriate plan level to access Finale's barcoding features. The barcoding app can be downloaded directly from the Google Play Store.

Where do I purchase the scanner?

We have two preferred vendors that are recommended to purchase your scanner with however you may ultimately purchase a scanner from anywhere you wish. Our preferred vendors are Barcode-Arena and AML. Please note that Finale's Mobile Barcode Scanner app is only compatible on Android devices.

How do I know what version my scanner is running?

From the main screen of the Finale IMS Barcode Scanner app, click More until you reach option #18 About. Selecting this option will tell you exactly which version of the app you're running on that device.

What is the difference between a USB/Bluetooth scanner and a Mobile Scanning device?

USB/Bluetooth scanners can plug directly into a phone or computer for the purpose of scanning a barcode, whereas a Mobile Scanning Device acts as one handheld tool to run Finale's Mobile Barcode Scanner app and scan barcode information simultaneously.
