How to Create and Use Automation Rules

Overview

Automation rules are background processes that operate on orders to automate and accelerate workflows. Each automation rule is built on three core components:

  1. Filters - A defined set of conditions used to identify which orders should be targeted.

  2. Fields to Update - A list of fields that will be updated by the automation and what values will be used for the update.

  3. Actions - One or more operations that are applied to all orders matching the filter criteria.

Together, these components allow users to automatically detect specific types of orders and apply consistent updates without manual intervention.

Automation Rule Configuration

Automation Rules configuration is accessible by navigating to Application Settings > Automation.

The automation rule details screen is where users create new rules and edit existing ones.

Automation rules run in the order they are displayed in the list. To rearrange them, use the 8 dot icon at the left of the row to drag the automations to the desired order.

Creating a Rule

To create a new rule, click on link "Add another automation rule". You can also create a new automation by starting with a copy of a previous rule through the "clone" option.

This will automatically launch the configurations page for the newly created automation rule.

Rule Configuration

  1. Name the Automation Rule

  2. Control the status of the automation (Active or Inactive)

  3. Reprocess the automation rule if needed.

Note: Once an order has ran through an automation rule, the process will never run again for that order, even if changes are made and the order becomes eligible for the automation again.

Filters

Filters control what criteria an order must meet for to be eligible for the automation to apply to it. An order must meet ALL of the filter criteria to process through the automation.

  1. Order Status - A mandatory field that configures what status the order must be in for the automation rule to apply

  2. Record Last Updated - A mandatory field that filters by the last date the order was updated.

  3. Filters - User configured filters. There can be as many listed here as needed for the automation. The user defines the filter and the criteria that must match for that filter (for example, the Order Origin must be Warehouse 1)

  4. Add Additional Filters - Used to add additional filters

  5. Remove Filter - Used to remove remove specific filters

Fields to Update

A list of the fields that will be updated by the automation for orders that meet the filter criteria.

  1. Add field to update - Used to add additional fields to update

  2. Field to Update - Choose the field that will be updated

  3. Value to Set - Define the value that the field will be updated to

  4. Remove Field - Used to remove fields to update

Actions

A list of the actions that will be done to the orders that meet the filter criteria.

  1. Select an Action - Choose the action that will be applied to the order. Selecting an option will display the option or function that will be set for that action. For example, if "Set delivery confirmation" is chosen, the action will be to choose what Delivery confirmation will be set for the order. Each action will have it's corresponding value shown below once it's selected.

  2. Add - Once the configuration for the action is set, click Add to add it to the list of actions. The configuration of the action will be saved and displayed in the section immediately above the "add" section. All available actions can be added to the automation if needed.

  3. Actions List - This is where the actions that have been added will be listed. Users can edit the configuration here.

  4. Remove Action - Used to remove actions from the automation.

NOTE: Actions are added in a predefined order which cannot be customized. This is the order in which the actions are performed.

Navigation and Saving

  • To save changes, click the Save button located at the top-right corner of the page.

  • To return to the Automation Rules list, use the navigation link at the top-left of the screen.

Example

Scenario

A seller has multiple Shopify stores that are each branded differently. Each Shopify store is exclusively one brand. The seller needs the shipping labels created by Finale to have the "Ship From" company of the corresponding brand, rather than the Finale company name. Once the seller company name has been updated, validate the ship to address in anticipation of creating a shipping label.

Configuration

  • Filter Criteria

    • Order Source: Shopify ABC

  • Fields to Update

    • Ship From Company Name: Set to the brand name that corresponds to Shopify ABC

  • Actions

    • Verify ShipTo Address (No value to configure since this is just an action)

Additional Details

  • All active automations rules run every 5 minutes.

  • Each automation rule is applied only once per qualifying sales order.
